Mapping survey questions to user fields

A guide on how to set up mapping and automation, tying survey answers to user fields in your InsightHub.

Mapping survey answers directly to user fields offers a quick and secure way to add consumer data into the InsightHub database. By mapping survey answers to user fields, you can update or add consumer data, without the need for manually downloading and appending survey responses. This is particularly useful for recruitment or profiling activities, but can also be used to automatically capture data from ah-hoc research projects.

What question types can be mapped, and what field types can they be mapped to?

In the table below is some information about which question types can be mapped, what user field rule type they can be mapped to, and what the mapping type is.

Tip:

Direct mapping = Writes the answer the user gave to the user field value (e.g Pet’s name = Midge)

Value mapping = You select which value in the preselected list you want the survey question answers to map to

 

How to set up survey question mapping

Go to Database> Add and Edit User Fields.

Locate the button titled “Map Data” located in the top right, and click this to start setting up your survey question mapping. Enter a name for your data map when prompted. Tip: You will need to set up a data map for each field you wish to map.

In the first tab, Select source and field you will need to set the source, the variable, and the user field you wish to map to. In the example pictured below, we have used;

  • A sign-up survey as the source,
  • A multiple-choice question about languages spoken as the variable,
  • We have chosen to map to a multi-choice user field for languages.

Select which source, variable, and field you wish to use, then click Save and Continue. More on matching answer selections to field values shortly.

Note: Survey question types can only be mapped to certain user field rule types. For more guidance on which question type maps to which user field rule type, return to the table earlier in this guide.

On the next tab, “Map”, you will match answer selections to field values*(*Note, this applies to Single and Multiple-choice questions. More information about other question types later in this guide).

Once all fields are matched with answer options, consider whether you would like to overwrite any existing consumer data in those fields, and whether you would like data to be automatically mapped when responses are collected. You can then select either/both of these options at the bottom of the “Map” tab.

Overwrite existing data – This may be used to reprofile or update existing data where applicable.

Update user fields automatically when a respondent answers this question- This may be used for profiling or recruitment surveys, and will automatically populate without the need to manually run this map regularly.

Once you have completed these steps, you can then choose to either “Save” or “Save and Run” the map you have just created, and you will be returned to the data map list.

In the below example, we have matched each answer option to the corresponding user field value. We have also set this map to run automatically AND to overwrite any previous consumer data. With this map, we will be able to automatically update the language information of any respondents, by overwriting their previous values in the field, and automatically updating them with the respondents’ new selection.

Mapping other question types

When mapping other question types, such as Text or Number Range questions, you will complete the Select source and field tab as described above, but the Map tab will automatically populate, and you will just need to confirm this by saving, or saving and running your map. With these, and other, question types, there’s no need to value-match, as the response data will be directly imported and mapped to the chosen field.

How to manage your data maps

From the main data map list, pictured below, you can run, edit or delete your data maps, as well as see if they are automated or need to be manually run. You can also quickly check information such as the source, user field and the date the map last ran.

Once you have run or automated your data map(s), you will start to see the updated/new data appear in the assigned user field, where it can be added to csv downloads, used to filter consumers, or added for use in tooltips and content searches.
