Scheduler polls

Scheduler polls allow you to invite InsightHub members to sessions directly within your InterviewMR project, making recruitment as easy as possible. These polls display the key information for your session, including the date and time of your proposed session, and allow users to confirm their attendance via a simple poll selection.

The first step in setting up a scheduler poll is to head to the ‘Scheduler polls’ tab in your InterviewMR project and then select ‘Add Scheduler Poll’. You’ll then be asked for a title and an optional internal name. The title will be visible to consumers, so it’s important to ensure that this is clear and consumer friendly.

Once you’ve created a poll, you will then be taken to the ‘Edit scheduler poll’ tab where you can set the parameters of your poll for each ‘Provisional session’, the first of these being number of groups participant can select.

This allows you to limit the number of sessions that a user can respond to as you are unlikely to require the same user for multiple sessions.

Start time

This is the start time that you plan to begin a session, so ensure that you correctly match this to your planned session start time. This date and time will be pulled through to the invites for this poll.

Duration

This is the length of your InterviewMR session so that users can plan their time around these sessions.

Internal name

This is an optional step but allows you to add an internal name that is not shown to consumers but is visible to other client accounts.

Seats

This allows you to set how many attendees you wish to invite to your session. Once this number is achieved, the scheduler poll will be marked as ‘Full’ to other users. In light of this, we would recommend setting this limit slightly higher than your required number of attendees to account for anyone dropping out after confirming. Should you not wish to limit the number of attendees to your session you can select the ‘Unlimited’ box just above seats.

Poll sample

Once you’ve set the basic parameters for your scheduler poll, you can the set the sample for this poll. The ‘Poll sample’ tab allows you to set the consumer group(s) that you wish to invite to the session.

The ‘Poll scheduling’ tab lets you set a date and time for your poll to go live, as well as a date that the poll will close, you can either set specific dates and times for each of these or click go live now to set the poll live immediately.

Invite to poll

Once your scheduler poll is live, the ‘Invite to poll’ tab will appear. This tab allows you to send an invite to the users included in your sample. The invite email will contain a direct link for users to complete the scheduler poll. Should you not have enough sign-ups after your invite has been live for a few days you, can also send a reminder from this tab.

Consumers can access scheduler polls either via the link from the poll invite or via the ‘My Tasks’ area of the InsightHub. Users can then confirm their attendance for the session via the poll as shown below.

Viewing scheduler poll responses

You can track the success of your scheduler poll and thus the planned attendance for your InterviewMR session via the ‘View responses’ tab. On this tab, you can see key information about your planned session, including start time, duration, internal name, and seats available. ‘Allocated’ shows the number of confirmed users for the proposed session.

By clicking on the icon under the ‘View all users’ column, you will be shown which individual consumers have confirmed their attendance to your proposed session.

Finally, by selecting the + icon below ‘Session’ you can create a session that matches your scheduler poll dates and times or change these if required.
