Delegating access rights in InsightHub

We understand the importance of ensuring data is secure and tailor access levels based on different roles within your business. We have made it possible to grant varying access levels to colleagues and stakeholders within InsightHub.

Our delegated rights options allow for Observers, Task Administrators, and Tool Administrators to be assigned as needed, to enable collaboration on a range of different research projects, and across community spaces.

Within InsightHub, there are 3 types of accounts which users can hold:

  • Admin – This account type is only used by FlexMR
  • Client – This account type is used by clients of FlexMR who use InsightHub, their colleagues, and stakeholders. A client account can be an allocated as an Observer, a Task Administrator, or a Tool Administrator.
  • Consumer – This is a member account, which allows users to only access the consumer-facing areas, such as the site homepage, profile area, navigation bar pages, and site policy pages. This type of account is for anyone who will be participating in activities.

What is an Observer?

An Observer account is for clients who only need access to view the Back Room areas. They can view a list of current live project pages within the site, the research and community tools in use within the site, and the consumer view of the site homepage/s. They cannot access or edit any specific tasks and cannot access the user database.

Observer accounts are unlimited within InsightHub.

What is a Task Administrator?

A Task Administrator does not have creation rights over any full tools or areas within InsightHub, such as ‘all SurveyMR 2.0’ or ‘all Forums’. However, they can access, edit and run any task which they are added to as an administrator. Assigning access on a task-specific level ensures that the client can run short-term projects and activities as needed, while also allowing for access to key areas such as the member database to be restricted.

Task Administrator accounts are unlimited within InsightHub.

What is a Tool Administrator?

A Tool Administrator can only be added by FlexMR. They have creation rights over one or more full tools or areas within InsightHub. This means they can view, edit, and run any tasks within those tools or areas they are assigned to. Tool Administrators can also assign any client account as an administrator over any given task in the InsightHub, by going to the tasks’ admin rights tab, and assigning them as a ‘administrator’.

The number of Tool Administrator accounts available is based on the agreed number of Tool Administrator licences included within your FlexMR contract. If you are unsure how many Tool Administrator licenses you have available, or would like to add more licenses, please get in touch with us at support@flexmr.net and we will be able to assist.

A Tool Administrator is categorised by full access to any of the below tools or areas:

Use Case - Moderator / Social Media Teams

We understand it is often beneficial for certain teams to have access to community-based InsightHub areas, and that these accounts often do not need access to carry out research tasks or analyses. With this in mind, we have made it possible to have unlimited moderator / social media team accounts within InsightHub.

These accounts can have access granted for site-wide areas such as News, Blogs, and Panel Mailing without being considered a tool administrator. For these accounts, if access to moderate certain Forums is also required, a tool administrator can add this access for the user at any time. To do this;

  1. In Back Room, Go to Community Tools > Forums on the left-hand side menu
  2. Click the name of the Forum you’d like to add them to. This will take you to the Forum’s ‘Setup’ tab
  3. Click into the ‘Admin Rights’ tab
  4. Click the ‘Add administrator’ button on the right-hand side
    Add administrator
  5. You will then see a list of available client-type accounts which you can add as an administrator. Select who you would like to add (you can add multiple administrators at once), and click ‘Add’.

This level of task-specific access can also be granted for a number of other tools within InsightHub, by using the dedicated ‘Admin Rights’ tabs within those specific task pages.

Who can add full tool administrator rights for a client-type account?

This can be done by FlexMR only, so please get in touch with us via support@flexmr.net if you would like us to assist with adding tool administrator access within InsightHub.
