Advanced Invite and Reminder Email Templates
You can now choose a more branded, customised layout for your task invites and reminders; this gives you the chance to provide more upfront information and previews of research tasks to participants and to make your invites and reminders more on-brand. Include content such as images and more to make emails more appealing and engaging.
Invite and reminder templates can be used for tool types including SurveyMR 2.0 and External tasks. We will be adding invite and reminder templates to other tool types in the near future.
Please follow the steps below to send an invite or reminder using the advanced template functionality:
- Go to Back Room > Research Tools > SurveyMR 2.0 or External tasks
- Select the task which you would like to send out an invite or reminder for
- Click into the ‘invite’ tab
- You will see the options to send invites/reminders. Clicking on one of these options will bring up a list of example templates.

To make things easier, we have added some example templates to help you get started. However, you can create your own templates via: Back Room > Project (select your project) > ‘Advanced email templates’ tab. Here you have the option to edit the pre-programmed example templates, or you can create your own template by clicking on the ‘Add Advanced Template’ button. Use custom HTML here to ensure your invites and reminds are on-brand.

5. Once you have selected a template from the drop-down list, it will bring up the template editor below

6. The editor has a range of customisation options, including:

- A: ‘View components’ to view a grid view
- B: ‘Preview’ to view how the email will look
- C: ‘Fullscreen’ to edit the email in fullscreen mode
- D: ‘Image toggle’ to show/hide images within the email
- E: ‘Undo’
- F: ‘Redo’
- G: ‘Delete all’ to clear everything in the template and start again
- H: ‘Open Style Manager’ to format the dimension, typography, and decorations for elements in the email
- I: ‘Settings’ to apply settings to an element in the email. Most commonly, when adding or editing a link or button.
- J: ‘Open Layer Manager’ to view/edit the email by HTML line/section
- K: ‘Open Blocks’ to add new elements into the email, such as sections, images, buttons, and more.
7. Once you have edited the email, you can add a subject line, preview and send (or schedule to be sent on a chosen date and time).
To note: if you would prefer to send an invite or reminder without the template feature, you still have the option to do so via Back Room > Research Tools > (choose a tool such as SurveyMR 2.0). You can then choose a task, then click on the actions drop down menu on the right. Here you will see the plain text ‘invite’ and ‘remind’ options.
